- Within the TDM business: where required for legitimate operational purposes
All third-party service providers who process personal data on our behalf are required to have appropriate technical and organisational security measures in place. We do not permit them to use your data for their own purposes.
Data Breach Notification
In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify the Information Commissioner’s Office (ICO) within 72 hours of becoming aware of the breach, in accordance with UK GDPR requirements.
Where a breach is likely to result in a high risk to your rights and freedoms, we will also notify you directly without undue delay, explaining the nature of the breach and the steps we are taking to address it.
International Transfers
Trans Data Management Ltd processes and stores personal data primarily within the United Kingdom. Where it is necessary to transfer personal data outside the UK, we will ensure it receives equivalent protection by implementing at least one of the following safeguards:
- Transferring only to countries or territories deemed by the ICO to provide an adequate level of protection, or
- Putting in place standard contractual clauses adopted or approved by the ICO between us and the recipient organisation
How Long We Hold Your Information
We retain personal information only for as long as necessary to fulfil the purposes for which it was collected, or as required by law or regulation. As a general guide:
- Enquiries and correspondence: retained for the duration of the business relationship and a reasonable period thereafter
- Recruitment data: retained for up to 3 years after the conclusion of a recruitment process, with your consent for future opportunities
- Contractual records: retained in accordance with our contractual and statutory obligations

- Right to Restrict Processing: to ask us to pause processing of your data in certain circumstances, for example while accuracy is being established.

- Right to Data Portability: to receive your data in a structured, commonly used, machine-readable format, or to ask us to transfer it to a third party where applicable.
- Rights regarding Automated Decisions: to be informed of and object to automated decision-making or profiling. We do not currently make automated decisions about individuals.
Where we process your data based on consent, you may withdraw that consent at any time. Withdrawal will not affect the lawfulness of processing carried out before withdrawal.
